Volunteer Role Descriptions:
Gallery Host/Hostess:
Duration: August 16 - September 19
Three shifts available each day- 9am-12pm / 12pm-3pm / 3pm-6pm
Responsibilities: Welcome and assist visitors at the gallery, provide information about the exhibits, ensure the safety and security of the artworks.

Packet Pick-Up Preparation:
Duration: September 8-12
Responsibilities: Assist in organizing and assembling packets for event participants, ensure all necessary materials are included in each packet.
Help organize the pick-up location.
Help unpack catalogs.
Packet Pick-Up Attendant:
Duration: September 17-19
Shifts available each day:
Wednesday 12pm-3pm / 3pm-5pm
Thursday 9am-12pm / 12pm-3pm / 3pm-5pm
Friday 9am-12pm / 12pm-3pm
Responsibilities: Distribute packets to registered artists and patrons, answer any questions participants may have about the event.
Tent Interior Setup:
Date: September 18-19
Responsibilities: Help arrange tables, chairs and work stations for the event.
Live Auction Volunteer:
Date: September 19, 4:30-10:30pm (Time of arrival depends on role assigned)
Various roles available:
Greeter- Greet patrons as they enter the tent and help show them to their table is they need assistance.
Magazine Table Assistant- Pass out Western Art publications to patrons.
Silent Auction Attendant- Watch to be sure bids are being placed ethically and within the guidelines. Assist directing patrons to checkout when the auction closes.
Auction Clerk- Record sale prices and bid numbers, fill out pricing information on the contract, which is then passed off to the contract runner, record sales in the excel spreadsheet.
Contract Runner- Run contract and payment processor to the successful bidder. After the transaction is complete, bring contract and receipt (if applicable) to the cashier and return to the fellow contract runners to start the process over. Wear comfortable shoes.
Cashier- Run payments and organize contracts under the direction of the Chambers bookkeeper.
UPS Runner- Takes contracts to UPS for pieces being picked-up. Assist patrons to their vehicle with their artwork. Indicate on the contract that the piece has been acquired by patron.
Art Walker- Carry artwork on the runway.

Quick Draw Volunteer:
Date: September 20, 8am-1:30pm (Time of arrival depends on role assigned)
Various roles available:
Greeter/Artist Check-In- Greet patrons as they enter the tent and help show them to their table is they need assistance.
Magazine Table Assistant- Pass out Western Art publications to patrons. This role is also responsible for counting ballots for Quick Draw People’s Choice
Silent Auction Attendant- Watch to be sure bids are being placed ethically and within the guidelines. Assist directing patrons to checkout when the auction closes.

There is no seating chart for the Quick Draw, so spotters are needed to locate the successful bidder. Wear comfortable shoes.
